Choosing Billing Systems in Your 7-Figure Private Practice

The billing systems you choose for the foundation of your private practice impact your longterm success. In this article, I’ll share a few core features to consider as you build from 6- to 7-figures and beyond.

By prioritizing the enjoyment that both you and your clients are experiencing day to day as you work, you’ll find that your private practice can quite easily shift into consistent 6-figure months, rather than just the more somewhat 5-figure ones you’re already used to. (Give yourself credit for that, though. Most people can’t do that, or don’t want to, so you obviously already have the right ideas and essential infrastructure in place.)

To further elevate your infrastructure, and therefore be set for an increase in revenue, a recall of the basics is beneficial.

First, remember what is already in place and what you’re committed to maintaining daily:

  • a clean easy interface for you to manage on the backend

  • a clean easy interface for clients to see on the frontend

  • an automated and personalized confirmation email that includes a receipt

  • reliable software that is billed at either a fixed rate or a percentage at the times and for the amount you would like

  • the option to send a link for clients to pay anytime online by credit card

  • the ability to charge automatically for cancellations or recurring sessions

  • a positive interaction with the software’s founder or customer service team, so you can trust you’ll continue to get good support if you have technical issues later on

At this point in your practice, if all you’re doing is working with clients in 1:1 sessions, and that is where you intend to stay, then these fundamental considerations may be all you need. Many of my clients have developed private practices generating multiple 6-figures and some even 7-figures in revenue simply by doubling down on the basics, even with a very small team. After all, the simpler and more efficiently you maintain your backend operations, the more energy you have to put into your client interactions and business growth.
